Active Vacay's Terms + Conditions + Policies

Payment Policy: In order to reserve a spot on a specific Active Vacay Retreat, a non-refundable booking fee of $500 is required at the time of booking. The full payment (the balance) must be paid within 60 days of the retreat start date, otherwise the booking will be cancelled and the $500 booking fee forfeited. Prices are based per person, twin share (share with another retreat guest or bring a friend/partner) or for private rooms where specific. Prices DO NOT include flights. All retreat guests must have adequate travel insurance to cover all activities listed. All retreats are strictly for ages 18 and over. Cancellation Policy Definitions: “Cancellation” is defined as not attending your scheduled retreat, including postponing or rescheduling. “You” refers to the guest booking an Active Vacay retreat. “We” refers to Active Vacay. It is your responsibility to read and understand our cancellation policy before making a reservation. Booking Cancellation Policy: Depending on when you cancel your reservation cancellation fees may apply. If you cancel your booking more than 60 days before your retreat start date, you will be refunded the full retreat amount (minus your $500 booking fee). If you cancel your booking less than 60 days before your retreat start date, you will forfeit your entire payment. Under exceptional circumstances, some guests may be allowed to transfer their non-refundable $500 deposit towards future credit - to use at the next available retreat. Guests will only have the one-time opportunity to redeem their future credit at the next available retreat. The decision to award future credit is at the sole discretion of Active Vacay. We do not offer credit for arriving late or leaving early. Covid Policy: In light of COVID-19 around the world, Active Vacay is committed to delivering a COVID-safe plan to ensure your health and safety remain our number one priority. When you go on holiday, we know you want to relax! So, to help with that, we have implemented a number of measures to ensure we reduce risk and give all guests and staff peace-of-mind. Active Vacay is run in accordance with the latest Queensland Government guidelines and COVID safe practices. Right of Refusal: Active Vacay maintains the right to process or refuse service to any person/s, at any time at our sole discretion. Active Vacay Cancellation Policy: If Active Vacay must cancel or change a scheduled retreat date for any reason whatsoever, you will be entitled to: transfer your full retreat payment to another retreat. alternatively, request a refund of your applicable payment Active Vacay is not liable for any of your expenses incurred in preparation for any cancelled retreats such as other accommodation, airline tickets, loss of work, and/or other costs associated with preparing for your trip. Travel Insurance: It is your responsibility to organise suitable travel and health insurance. And although we strongly encourage you to do so, you acknowledge that Active Vacay cannot be held liable under any circumstances if you fail to arrange suitable personal insurance coverage. Third Parties Active Vacay hold no liability for the actions or omissions of third parties or independent contractors, including in the event that they modify the nature of a service on a retreat as compared with the advertised nature of the service. General Waiver You acknowledge that during a retreat you participate voluntarily in any and all activities arranged by Active Vacay and/or the retreat organisers, and to the maximum extent possible at law, you surrender your right to any cause of action against Active Vacay that you have or may have had arising from any loss or damage to person or property that occurs during a retreat. Personal Security Our Commitment To You - Active Vacay is committed to providing a secure and safe environment for all out travellers regardless of their gender, sexuality, ethnicity or religious beliefs. We train our team to live by these values and represent them in their behaviour. Travel is all about positive life experiences and we have a zero-tolerance policy on bullying or harassment being directed at any of our travellers and/or our team members. If you’re ever made to feel uncomfortable or intimidated by anyone’s behaviour during your trip, the first step is to talk to your Retreat Host. Also, if you witness any behaviour that you feel is unacceptable then your Retreat Host is your first port of call. Active Vacay has a Zero Tolerance Policy to the following acts and reserves the right to terminate your trip on the grounds of the following behaviour: Drugs: Possession and use of recreational drugs and illegal substances is strictly prohibited and will result in the immediate removal of the travellers - no exceptions, ever. Alcohol: Excess alcohol consumption that puts travellers and crew at risk is grounds for removal from the trip. Drink responsibly and look after yourself. Abusive behaviour: Under no circumstances will physical violence of any type be tolerated on our trips or within any Active Vacay facility. Verbal abuse: Active Vacay will not tolerate travellers that use abusive language or make gestures that could be disrespectful or threatening. Inappropriate conduct that affects those around you, whether a fellow traveller, Active Vacay representative or business partner is unacceptable. Consequences Any threats to safety, well-being or inappropriate behaviour may lead to the immediate termination of a traveller’s trip. Travellers removed from a trip for failure to comply to the Active Vacay Code of Conduct are responsible for repatriation and related costs and have no claims against Active Vacay. Photo / Video Release Form You hereby grant to Active Vacay absolute and irrevocable rights and unrestricted permission to use photographic portraits / images / videos in which you feature that are taken during the course of the retreat to use / republish / copyright, etc. for commercial use in association with Active Vacay’s business. You hereby release and discharge Active Vacay from any and all claims and demands arising out of or in connection with the use of the photographs and video footage, including without limitation any and all claims for liberl or invasion of privacy.
